 Organizer's Checklist

 What you need run Clinic/Lessons

Around the world I have given hundreds of lectures, workshops, arena demos and teacher training classes.   I might be able to donate a lecture to clubs to help with your club's fundraising.

Clinics are easy to organize...just email us to see if we are available on the dates you have in mind, and we can "talk you through" all the steps you'll need to bring it together.

 Evening Lectures

Donated evening club lectures normally start around 7:00pm and finish around 9:30pm, and all funds raised at the door go to your club's fundraising. 

You will need:

  1.  The Venue  Get a hall or meeting room DONATED (so you don't waste your fundraising money).  Most municipal councils, Scout Halls, or conference centers are happy to donate a room if it is for a community fundraiser.

  2.  Refreshments & snacks   Run a cafeteria, or have light snacks included in the door price - a great way to increase the club's fundraising!

  3.  PowerPoint Display   Ideal for indoors, however if your venue is outdoors, we can adjust it to suit.  You will need
                     a)   A laptop (with PowerPoint)
                     b)   Projector
                     c)   Large screen
                     d)   A technical person capable of ensuring it functions

  4.  Auction Items    Have a slightly shorter lecture, followed by an auction afterwards.  Ideal donated items are weekends at resorts, hairdressers gift certificates, stallion owners donating services, fishing cruises, helicopter rides, restaurant dinners or bottles of wine.  And, it's the smallest, most remote clubs that have raised the most money in the past!   $7,000 in one night is our record.   ►  More

  5.  Collecting money  for the club    Funds raised at the evening lecture go directly to the club for their fundraising.  A person to collect & secure money at the door would be needed.

  6.  Microphone    I bring a waistband microphone with me which is normally fine for indoors, so a microphone system is appreciated, but not absolutely necessary.

 Morning (or lunchtime) Demonstrations

Morning demonstrations normally start at 8:30am, and go until 10:00am, with lessons following on afterwards.   Here's what you'll need.

  1.  The Venue   An INDOOR arena is preferred, however, if your group only has an outdoor, try approaching local indoor venue owners.  Often arena owners will donate their arena for the fundraiser, and in return for the information they gain, plus the promotion for their venue as well.

  2.  Demo riders (Get a FREE lesson!)    Arrange 2 demo riders of your best standard, on quiet horses.  A great "reward" for people who help in your club.  A BRILLIANT way to get a lesson for free!   It's lots of fun, and non-threatening or embarrassing at all.

  3.  Music   Please have a look at the article on :  regularity and rhythm.  Can you please provide a music system, just a small portable CD player will be fine.  I will then bring the special riding music so that people can see how horses can be trained to go in time to music, and music can be used to stop the horse going faster and slower.

  4.  Trot Poles    If you have 6 trot poles available (no wings necessary), this is marvellous for the demonstration on extension & collection - to music mentioned in the regularity article

  5.  Collecting money    Funds at the evening lecture are completely donated to the club's fundraising, however, although it might not cover it completely,  funds raised at the morning (or lunchtime) demo goes towards Colleen's airfare/travel.  A person to collect & secure money would be needed.  More info see  morning ridden demo

  6.  Spectator Comfort & Information    Try to think of how to keep the spectators comfortable, advising them if they need to bring fold up chairs, providing a canteen (ideal for more club fundraising), or advising them to bring their own lunches and hiring portable toilets if necessary.   Parking and other safety signs are ideal if riders are bringing large trucks that need to be able to turn and park safely.  For outdoor areas, rain and sunburn are your two biggest issues.  Nearly all venues have now banned dogs, however if you are a venue that still allows dogs, make sure everyone knows in advance that they must have them on a lead at all times. 

  7.  Helmets   To avoid holding up demos & lessons to try to find a correct helmet on the day, please ensure that riders are aware that helmets are mandatory & current approved safety tags will be checked.  See helmets

 Lessons - Cost & Info

There is no cost whatsoever to your group if a lecture/demos is donated.  Private and shared lesson info can be found here:  lesson costs.

 Accommodation & Meals

Accommodation (a club member's home is absolutely fine) & all meals need to be arranged for Colleen and normally one assistant.  Due to recent health issues with lupus, fibromyalgia and serious back problems, I would appreciate any help you can give us with carrying bags, arranging for chairs, and very simple & light, vegetarian meals if possible - but please don't go to too much trouble cooking! 

 Transport 

Transfer to and from the airport, or from the previous clinic and to the next venue after your clinic must be arranged by your group well in advance.

 Promoting your event

To gain the most from your fundraising, you really must promote the event locally as much as possible.  

Here's what we can do:

►  A flier (similar to those on the coming events pages) 
►  Press release & photos for the local paper
►  An advertisement on our website
►  A mail out to our mailing list for your area

Here's where you can advertise:

►  Saddlery & produce stores
►  Newspaper article (we can provide photos)
►  Windshield wipers at horse shows
►  Farriers, vets, massage people that travel in the local area
►  Your email list
►  Other clubs to help spread the word of your fundraiser
►  Internet forums for your area
►  Equestrian Federation/Pony Clubs/Adult Riding in your area
►  Registered coaches
►  Agistment & riding centers
 

 Helmets

Please ensure that all riders know that helmets will not only be required, but the safety tag checked before mounting.. important information >see helmets
